LegacyAI.dev ("LegacyAI," "we," "our," or "us") provides tools to help business owners document their knowledge, reduce key-person risk, and prepare for ownership transitions. This policy explains what we collect, how we use it, and the choices you have. We keep it simple and specific to how the product actually works.
1. What We Collect
Information you provide
- Voice call recordings and transcripts
- Interview responses and structured data generated during calls
- Documents you upload (financials, processes, SOPs, customer/vendor lists, etc.)
- Notes, prompts, and any other content you enter into the system
Account and usage information
- Name, email, organization, and access permissions
- Product usage data (feature interactions, workflow events, performance metrics) used only to improve LegacyAI's design, reliability, and functionality
- Technical logs (device type, IP, error logs) for security and debugging
2. How We Use Your Data
We use your data to:
- Generate transcripts, summaries, insights, and reports
- Store and organize information for you and any users you authorize
- Improve product performance, features, and design
- Provide support and maintain system reliability
- Secure the platform and detect misuse
We do not use your business content, transcripts, or documents to train any language models—ours or anyone else's.
We do not sell your data.
3. Who Owns the Data
You retain ownership of all content you provide, including recordings, transcripts, documents, and interview answers.
You grant LegacyAI a limited license to store and process that content solely to:
- Operate the platform
- Generate outputs you request
- Provide support
- Enable access for collaborators you explicitly authorize
We do not claim rights to reuse or repurpose your content outside your account.
4. Who Can Access Your Data
You and the people you invite
You control who can see your information. You can grant access to advisors, prospective buyers, or other collaborators. We do not verify their identity—you are responsible for selecting who you trust.

Access is limited to essential personnel for:
- Technical support
- Security investigations
- Debugging
- Compliance obligations
Vendors and service providers
We use trusted infrastructure partners to provide core functionality:
- Supabase – secure data storage, user authentication, role-based access control
- OpenAI & xAI – LLM processing for summaries, classifications, and analysis
- Vapi – voice-call handling and transcription
- 11labs – voice generation when applicable
- n8n – workflow automation
- Lovable – front-end components and infrastructure
- Analytics providers – usage insights (e.g., traffic patterns, feature interactions)
Vendors process data only to perform services on our behalf and under confidentiality obligations.
5. How AI Is Used
AI services are used to:
- Transcribe audio
- Classify and analyze content
- Generate summaries and draft outputs
AI outputs may contain errors; human review is recommended for important decisions.
Your data is not used to train or improve any public or shared language models. Processing is limited to generating outputs for your account.
6. Data Retention and Deletion
- Your data stays in your account until you delete it or close the account.
- When you delete data, it is removed from active systems and then from backups on a rolling basis.
- Derived files (e.g., reports downloaded by a buyer) cannot be recalled.
- Upon request, we will delete recordings, transcripts, vectors, and any associated derived content.
7. Security
We implement industry-standard practices including:
- Encryption at rest and in transit
- Organization-scoped data isolation
- Role-based access control
- Logging and monitoring of sensitive actions
- Regular review of vendor security
No system is perfect, but we maintain reasonable and appropriate safeguards for the type of information we handle.
8. Children's Data
LegacyAI is for U.S. business owners and their authorized collaborators. It is not intended for children and we do not knowingly collect information from anyone under 18.
9. No Legal, Tax, or Investment Advice
LegacyAI is not a broker, accountant, lawyer, or financial advisor.
We provide tools—not professional advice.
10. Changes to This Policy
We may update this policy as the product evolves. We will post updates on this page. Continued use of the platform means you accept the updated policy.
